How Documented Systems Help to Build a Business You Love

Let’s be honest, balancing business, life, and legacy isn’t for the faint of heart. On episode 132 of The G.L.O.E. Podcast, Angel Wilborn is joined with Adriana Richardson, the brilliant mind behind The Lazy Millennial, to talk about all things delegation, systems, and how to stay sane while doing the most (because let’s face it, we usually are).

Adriana is an award-winning business consultant and technical writer who helps business leaders get their back-end systems together so they can actually scale without burning out. We talked about everything from digital planners and font drama to why documenting your business processes is an actual love language.

From Virtual Assistant to Systems Queen

Adriana’s journey started in 2018 when she launched her virtual assistant business while pregnant. She landed clients quickly, hired a team, and before long, realized she hated the hustle she’d built. That moment of “this ain’t it” led her to refine her services and focus on what she was truly gifted at: systems, documentation, and making business smoother for everyone involved.

She found that clients weren’t just overwhelmed, they were unorganized and needed better processes. That’s when The Lazy Millennial was born. It’s not about being lazy. It’s about working smart so you can rest hard. Adriana calls it the “lazy lifestyle” aka efficient delegation, structured systems, and reclaiming your time.

Why Documentation Matters (More Than You Think)

Adriana dropped a line I’m still thinking about: “If you don’t write it down, it doesn’t exist.” Which is something Angel can be heard saying often!

Whether you’re a pen-and-paper girlie (like us) or a voice-note-loving digital planner, documenting how your business runs is a must. It helps with onboarding, offboarding, and even dreaming up your exit strategy.

Start simple. Jot down what you do daily. Capture your workflows. Keep a running list of tools. And yes, color-code it if you must, we don’t judge over here.

Exit Strategy = Clarity, Not Commitment

One of the biggest gems Adriana shared (okay, we’re using it just this once) was about building with the end in mind. Even if you’re just getting started, it’s helpful to think about how you’d like to leave or evolve your business someday. Selling it? Handing it off? Shutting it down on your own terms?

It doesn’t mean you have to stick to one route forever. It just gives you a compass when the hustle gets noisy.

Life, Kids, Marriage—and a Whole Business

Adriana keeps her home and business running with structure, delegation (yes, even the kids help out), and honoring her seasons. Some seasons are for hustle. Others are for rest. But all of them are valid.

And like many of us working from home, she’s dreaming about cute coffee shops and co-working spaces with actual good coffee. (Charleston, we’re looking at you.)

Final Word from Adriana:
Don’t rush the process. Start slow. Build documentation in a way that works for you, not against you. Because if it’s not sustainable, it won’t stick.
