If your business ever feels stuck, you’re not alone. Bottlenecks happen to all of us, and they can slow things down fast. Whether it’s confusion on your team, missed steps with clients, or a general sense that everything is harder than it needs to be, chances are you’ve got a bottleneck somewhere in your process.
In this post inspired by a past live, I’m breaking down what bottlenecks are, how to spot them, and how to start fixing them in a way that doesn’t overwhelm you or your team.
What Is a Bottleneck, Really?
A bottleneck is anything that disrupts your workflow or slows your business down. One of the steps in your process is getting in the way, and everything behind it starts to pile up.
In business, that could be unclear roles, lack of documentation, missed communication, or anything else that keeps progress from flowing the way it should.
A Real Client Example: What Bottlenecks Can Look Like
One client came to me with a big goal: to prepare her business for licensing. But before we could think about expansion, we had to face the bottlenecks already causing issues in her day-to-day.
Here’s what we found:
- The team had roles, but no one knew exactly what their day-to-day looked like.
- Clients weren’t clear on what they’d purchased or what came next.
- The founder was too involved in every detail to focus on growth.
This isn’t uncommon. Most bottlenecks start small and grow over time. Here’s how we got things back on track.
Start Small: Focus on Sales and Client Experience
We looked at the sales and onboarding process first. Why? Because if your clients are confused about what they bought, you’ve got a problem. We created a clear onboarding experience that helped clients feel supported and confident.
This included:
- Welcome emails and communication checkpoints
- Assigning clear onboarding tasks to specific team members
- Hosting monthly orientation sessions to walk new clients through what to expect
These changes didn’t just help the clients. They also helped the team know exactly what to do, which reduced confusion and saved time across the board.
Eliminating the Hidden Time-Wasters
Once onboarding was fixed, we uncovered another issue: team meetings that went in circles. There were too many one-on-ones, and most of them were just people asking for clarification.
To fix this:
- We documented SOPs so tasks were no longer hidden in someone’s head
- We reduced meeting frequency by improving internal communication and role clarity
The result? More time, less stress, and a team that felt empowered to make decisions without needing constant direction.
Ask These Four Questions to Find and Fix Bottlenecks
If you’re not sure where to begin, here are four questions I ask when reviewing any process:
- Can this be delegated?
Is someone else better suited to own this task? - Can it be paused or removed?
Is this still needed, or is it just something we’ve always done? - Can it be kept as-is?
Is this part of the process working just fine? - Can it be automated?
Could tech or tools handle this more efficiently?
These simple questions can help you identify which steps are helping and which are getting in the way.
Final Thoughts: Bottlenecks Aren’t the Problem—Avoiding Them Is
Bottlenecks aren’t something to be embarrassed about. Every business has them. What matters is how you respond.
Start small. Focus on the biggest pain point. Create a simple plan. And don’t forget to document the new steps once things start working better.
